Residence Hall Check-Out Process and Schedule for Spring 2021

Residence Halls Close Promptly at 7pm on Wednesday, May 12 for all students (including graduating seniors)

  • Students must depart by 11am the day after their last final exam OR by 7pm on May 12, 2021 (whichever comes first)
  • Failure to move by the stated deadline results in an improper check-out fee.
  • Review the schedule below if you would like to check-out with a Student Staff Member
  • Student Staff can not confirm a damage assessment or guarantee no damage assessment will occur
    • Department Professional Staff conducts final damage assessment after residence halls have vacated.
  • If asking for assistance for moving out items, you must register a guest from THD by the last day of classes - May 5, 2021

2 Types of Check-out

  • In-formal Check-out

    • You do not have to check-out with a Student Staff Member
    • You have removed all personal belongings from the space
    • Ability to appeal Individual Damage Charges are waived
  • Formal Check-out

    • You check-out with a Student Staff Member (see schedule below)
    • You have removed all personal belongings from the space
    • Ability to appeal Individual Damage Charges are not waived

Reasons you may want to check out with a RA:

  • You have a conditional change from check in you want Housing to be aware of
  • You have questions about check out/your room
  • You want to have a staff member review your space

  • Last appointment is 8:15 p.m.
  • Staff Will Not conduct a Formal Check-out after 9:00 p.m. (A Student Staf Member will be sent to your room, you should expect to wait approx. 15-30 minutes)

Schedule for: Monday, May 10 and Tuesday, May 11
10 am - 9 pm

All check-outs will be coordinated through Housing

BINS ARE AVAILABLE TO SIGN OUT FROM HOUSING DURING THESE TIMES.

Last check out is at 8:15pm You may check out a bin for one hour only.

Residence Halls Closing Information for Spring 2021

When do the halls close?

The halls close on May 12th at 7pm.

  • All students are required to depart by 11am the day after their last exam or by 7pm on May 12, 2021 (whichever comes first). 
  • If you do not vacate your space by that date/time you will be assessed a late stay fee. ○ Review the section below on “What if I can’t leave by checkout?”for further information.
  • Card access shuts down at this time if you are not a registered late stay.
  • If asking for assistance for moving out items, you must register a guest from THD by the last day of classes - May 5, 2021.

Do I need to participate in a formal check-out with a Student Staff Member?

You do not need to check out with a student staff member, unless you choose to do so.

  • There is no financial penalty/improper check out if you do not check out with a staff member
  • You do waive YOUR RIGHT to appeal individual charges if you do not elect to check out with a Resident Assistant.
    • Community/Group Charges can not be appealed
  • Residents will need to make arrangements with staff in their area to check out before May 10
    • After May 10, residents will be able to call 978-665-3219 and a member of our staff will be dispersed to check their spaces.
  • A staff member will meet you at their room and complete the inspection of your space.
    • All items must be removed from the space (or the residents side of the room) before the inspection can begin.
    • A Student Staff Member can not guarantee that you will not receive any damage charges. Their role is to document your communication at the point of your check-out.

What if I forgot something?

Upon student check out, we immediately begin preparing the halls for summer use and fall opening by cleaning out all rooms.

  • All belongings left after closing are immediately considered Abandoned Property and will be removed after closing and disposed of.
  • We do not guarantee that they will be made available.

What if I can’t leave by checkout?

Students who cannot leave the halls by closing time are eligible to register for a late stay by completing the application via web4 no later than Wednesday, May 5th.

  • This is a one day request, Check-out must be by 12:00 p.m. on Thursday, May 13th
  • There is a $35 charge per night for a late stay.
  • If you do NOT apply and are here past 7pm on Wednesday May 12th you will be assessed an improper check-out and provided access until Thursday, May 13th at 11:00 a.m. An approved late stay will grant access to your space until 12pm (noon) on Thursday, May 13th.

Steps to avoid a damage bill.

Prior to checking out of the halls, you are required to leave your room in an acceptable condition.

  • Return your room to its original condition (as it was when you moved in). RESIDENCE HALL CLOSING INFORMATION Spring 2021
  • Clean your room/suite/apartment thoroughly.
  • Remove all trash and personal property from your room/suite/apartment and properly dispose of it (in dumpsters provided).
  • Remove all tape, marks and decorations from your floors, walls, ceilings, windows and furniture.
  • Be sure your window screens are in place.
  • Close and lock all windows and doors. Turn off all lights and faucets.

What is the time-frame for damage billing… How does it work?

After the halls close, a professional staff member will complete a final check of the room and determine any necessary billing.

  • If you receive a bill for damages, it will be sent to you via email to your @student.fitchburgstate.edu account the first week of June.
  • Any common area damage will be assessed to all residents of the building, and are not appealable.

How Do I Appeal A Charge?

If assessed a bill for damage, you will receive information on how to appeal this charge through THD and any deadlines for this process. You have to complete your appeal by the deadline date listed - that is one week before the payment is due for the damage billing.

How do I cancel 2021-2022 housing?

Complete the cancellation form on THD. Cancellation fees will apply as outlined in that document and the Housing Occupancy Agreement you signed when applying for Fall 2021 - Spring 2022 Housing
