About the SSC

The SSC Navigate is a “big data” initiative that analyzes the past decade of student performance at our institution in order to provide predictive analytics related to courses and student attributes.

Through tailored reports, departments are able to assess key trends and insights in student performance and identify opportunities for targeted initiatives, curricular change, or enhanced resources.

It also provides a comprehensive advising platform which applies the historical data analytics to current students in order to provide advisors with detailed insights into their advisees.

FERPA

As always, when dealing with student information, it is important to keep our FERPA policy in mind. A copy of this policy can be accessed here (PDF).

Instructions to Sync Google Calendar to Navigate

Note: It is common in Google and Office360 calendars that any events on a user's calendar that are not marked as "free" will block off time available in Navigate360. This is standard for all calendar formats and all EAB CRM's (Navigate360 and Starfish).

We strongly recommend syncing your calendar to the Navigate360 platform so that appointments can flow between your Navigate360 calendar and professional calendar, blocking off that time and preventing double booking.
  • To set up Calendar Sync, open My Calendar and select the Settings and Sync button.
  • The Calendar Settings opens.
  • Click Setup Sync . The Calendar Settings: Setup page opens.
  • You have various ways of syncing your calendar. This article explains how to sync a Google Calendar with Navigate360.

Syncing Google Calendar

Select Google Calendar from the list of options. A Google sign-in page opens.

Enter your email and password to complete the sync setup.

After entering your credentials, you are redirected back to the Navigate360 Calendar page, and prompted to finish setting up your calendar. Choose one (not both) of the following options:

  • Select Calendar for Two-Way Sync (Recommended Option): All calendar items sync back and forth between your Navigate360 calendar and your professional calendar (i.e., Navigate360 calendar ↔ professional calendar). Events from your professional calendar will display as Busy in your Navigate360 calendar. Limited details from Navigate360 will display in your professional calendar.
  • Select Calendar for Free/Busy Sync: Choose this option if you only want events from your professional calendar to display as Busy on your Navigate360 calendar (i.e., professional calendar ↔ Navigate360 calendar).

After selecting the appropriate calendar, click Save. Your sync is complete, with information about the sync on display.

Sync Options

After setting up your sync, you should see something like this when you open your Settings and Sync page in Navigate360.

You have two options listed under the sync to help you troubleshoot when your calendars are not syncing, if your email address has changed, etc.

Retry Sync lets users reconnect to the Navigate360.

Setting Up Your Availability

As a new user, the first thing you need to do is set up availability in order to schedule appointments.
Click on the My Availability tab on your Advisor Home page and select Add Time:
  1. Select the days and times when you are available to meet with students
  2. Select the Duration (e.g. advising period)
  3. Select Campaigns
  4. Select Advising under Care Unit
  5. Select the Location (e.g. Faculty Office for faculty appointments)
  6. Lastly, select which student services you can provide to students during this availability. You may select one or more, but you must select at least one.
  7. Use the optional Special Instructions area to add any comments, such as your office location
  8. Click the Save button.
Repeat this process until all of your availabilities have been defined. Note: You can have as much availability as needed.
There are two other options when adding Times Available.
  • Copy Time- to copy a time, select the time you would like to copy and then click the Copy Time button. The availabilities will be copied and a dialog will open allowing you to make edits or to save your newly created availability.
  • Delete Time- to delete your time, simply select the time and click the Delete Time button.

IMPORTANT: If you want to add this availability to your Google calendar, in order to hold it until students make appointments, you must create these events as Free. Otherwise, these events will feed over to your SSC calendar and make you unavailable for student appointments.

Also, do not duplicate your availability on your SSC calendar (for example, by creating general events that mimic these time slots.) This will tell the system that you are no longer available at these times.

Setting Up Your Availability for an Appointment Campaign such as for the Advising Period:

For the Advising Period, you will want to set up availability under Campaigns.
This will then be the availability sent to students via the Appointment Campaign.
See the Setting up an Appointment Campaign.

Note: You can have as much availability as needed (i.e. you can set up multiple availabilities under Campaigns and tie them all to your Appointment Campaign.

To edit your availability, simply click on the Edit
