The Capital Planning and Maintenance Department is responsible for maintaining the buildings and grounds throughout campus. Our goal is to provide everyone with uninterrupted building utilities and an atmosphere that is conducive to a proper learning environment. We are a service-oriented organization designed to support the Campus community.

Important Information

During the course of their work shift staff routinely submit work requests for things that they recognize need to be done.

If you see something that needs to be repaired, or if you have a need for service from the Capital Planning and Maintenance Department, please fill out a work request (see instructions below).

The work request will then be processed. When the work is completed you will receive an email with a status notification. If you have any questions regarding work requests, please call extension 3115.

Create a Work Request

  • You can access Asset Essentials through login.fitchburgstate.edu or directly at https://assetessentials.dudesolutions.com/fitchburgstate. Google Chrome is the best browser to use for the system.
  • Username and password: your current Fitchburg State email address and password (Falcon Key)
  • To submit a request click on the wrench icon>work request>new.
  • Enter all necessary information in the space and click save (top left) at the end to submit.

The App

  • To submit a Work Request click on the "+" sign in the toolbar at the bottom of the app.
  • Click Request > complete the information > upload a picture if applicable and click Submit Request.

Keys and locks for all campus buildings or university property may be requested by submitting a Work Request through the Capital Planning and Maintenance Department. No one other than a Capital Planning and Maintenance employee is authorized to change or alter locks on any campus property. For accountability and security, keys must be returned to Capital Planning and Maintenance and may not be transferred from one person to another. Missing or stolen keys must be reported in person to the Public Safety office. They will assist you in requesting replacement keys.

Event Scheduling

To schedule an event on campus, please call the Event Management at 978.665.3900. We take pride in assisting you with your event planning and are happy to work through the details of your event so that all details are covered. Please discuss your needs with our friendly staff.

In order to accomplish a maintenance, repair, renovation, or new construction project by contract, there are some "rules of the road" we have to live by:

1. Capital Projects Funded With Division of Capital Asset Management (DCAM) Monies for Academic and Administrative Facilities:

In many cases, funds are transferred to Fitchburg State for complete project management by the Capital Planning and Maintenance Department for design, consultant (if needed), construction and construction oversight. These funds usually must be expended and projects completed within the current fiscal year. For most new construction, DCAM usually handles the entire process.

2. Capital Projects Funded With Mass State University Building Authority (MSCBA) or Residence Hall Facilities:

Capital Planning and Maintenance occasionally is tasked to design and manage projects, but most are completed through the MSCBA and their consultants.

3. Special Projects / Mission Projects / Department Projects:

Projects approved by the President and/or Vice Presidents that relate directly to the strategic plan. In most instances, these projects must also be completed within the fiscal year.

A department may elect to transfer funds to support a project that is important to them, or may have extra funds from other sources and want to accomplish a project. These projects must be accomplished within the current fiscal year. We advise that you contact our department prior to requesting funds for projects so that we may assist with technical and budgetary considerations.

Each year the window of opportunity is extremely limited by when the budgets are finalized and when funds are received.

We schedule our work as early as possible and are constrained to have all projects designed by the end of March. Therefore, we ask that departments with funded projects contact us as early as possible to assure that the work is accomplished.

Capital Planning and Maintenance Departments

Custodial

Training in state of the art cleaning techniques and the use of labor-saving devices enables our custodians to provide the best possible facilities in which to work and learn. The custodians also report any problems which may call for the services of other departments. A dedicated team of maintenance staff workers care for the maintenance of our residence halls.

Grounds

The Grounds Department is responsible for the maintenance and landscaping care of all outdoor areas of the campus, including lawns, athletic fields, trees, shrubs and flowers. Our Grounds staff also provides rubbish collection services, snow and ice removal, and storm drain maintenance.

Electrical

The Electrical Department supervises, maintains, installs, and upgrades the following:

  • Power
  • Lighting and switches
  • Fire alarms
  • Security alarms
  • Generators
  • Motors
  • Mechanical equipment

Structures

Carpenters and Painters provide interior and exterior building maintenance and repairs, including:

  • Walls
  • Flooring
  • Ceilings
  • Windows
  • Doors
  • Locks
  • Painting
  • Furniture assembly

Power Plant

Plumbing, heating, ventilation and air conditioning are the responsibilities of the Power Plant Department. They also operate the steam generator plant, make recommendations for ways to conserve energy, and insure that approved requirements are adhered to.

A team of maintenance staff workers are employed by Capital Planning and Maintenance in order to maintain the residence halls in the best possible condition within the given resources. To ensure a pleasant environment, students should treat their buildings and their room with respect. For assistance with repairs or maintenance, please refer to the university work request system.

All items coming to the University are received by Materials Management. Packages other than those going through the Post Office are also sent from Materials Management. The department coordinates the Campus Recycling Program.

Campus Recycling Program

Fitchburg State University is dedicated to the preservation of our natural resources. To this end, recycling bins for paper and computer paper have been clearly identified and placed in strategic locations throughout the campus.

The University also recycles printer cartridges and copier toner cartridges. From the smallest HP cartridge to the biggest LaserJet and copier cartridges, we collect them all. Just put the cartridges into the box that your new cartridge came out of and send them to Materials Management through the campus mail system.

The Health and Safety Officer works to ensure that the University follows all federal and state regulations and provides a safe and healthy learning and working environment. This department also handles all hazardous materials.

Hazardous Materials Disposal

Of prime concern to us all, for health and safety reasons, is the proper handling and disposal of hazardous materials. To coordinate the handling and proper disposal of hazardous materials, please contact Leah Fernandes at extension 3756 in the department of Environmental Health and Safety.

The Administrative office is the center of the department for processing all administrative requirements such as requests for information, correspondence, work requests, budget items and key requests.

Our Project Management team provides the following services:

  • Design
  • Development
  • Estimating
  • Spec writing
  • AutoCAD
  • Many other similar functions

All projects requiring blueprints and or specifications are handled by Project Management. When you are in the beginning planning stages of renovations or improvements to the facilities of your department, please contact Project Management for assistance.
