How to Start a New Student Club or Organization

Request for Recognition

  • Meet with a professional staff member in the Office of Student Development to discuss your proposed group
  • Submit the following to the Director of Student Development:
    • A proposed constitution
    • Letter of intent
    • A list of at least ten (10) currently enrolled, full-time Fitchburg State students interested in becoming members
    • The name of an advisor who is a full-time member of the Fitchburg State faculty or staff
    • Completed hazing forms
  • Present your formal request to the Student Organization Committee (SOC), which will convene periodically as needed throughout the year
  • The SOC will review and make recommendations to SGA for a vote of the council
  • If passed by SGA, the constitution will then need to be approved by the Dean of Student and Academic Life

Greek Requests

  • SOC will forward the request to the Greek Council, which will review the request and will meet with the organization, and the Greek Council will make a recommendation to SOC
  • SOC will review Greek Council’s recommendation and will meet with the organization
  • SOC will make a recommendation to the dean, who will make the final decision regarding recognition status

Membership Guidelines

  • Funded clubs and organizations must have its membership open to all interested Fitchburg State students, and have its meetings open to the Fitchburg State community
  • Unfunded clubs and organizations may limit or restrict its membership and hold closed meetings, pending the approval of the Director of Student Development
  • Fitchburg State reserves the right to deny recognition to any club or organization who’s stated aims and/or objectives are not consistent with those of Fitchburg State.
  • The Dean of Student and Academic Life may revoke existing recognition whenever due cause for said recognition can be clearly demonstrated
  • Any student club or organization which distinguishes membership based on race, religion, gender, age, disability, sexual orientation, or veteran status, will be considered to be acting in violation of university policy

Eligibility for Membership

  • All full-time undergraduate students are eligible for membership to any and all student clubs and organizations, in association with the standards for membership set by the specific organization
  • The officers of all student organizations must be in good academic and disciplinary standing at the time of appointment and through their terms of service
  • The staff in the Office of Student Development has the authority to check grade point averages for club and organization officers (in a dispute, the final decision responsibility lies with the Office of Student Development)

Reactivation of a Club or Organization

  • If a club or organization has been inactive for less than a year, it may simply update its Recognition Form to become active again
  • If a club or organization has been inactive for 2 years or more, it must follow the reactivation procedure:
    • Meet with the Director of Student Development
    • Submit a list of at least ten (10) currently enrolled, full-time Fitchburg State students interested in joining
    • Check and confirm that the previous constitution on file is still accurate – if any changes are desired, they need to be approved by the SOC & SGA
    • Fill out a Registration Form
